How to choose a restaurant CRM for repeat visits
A restaurant CRM should help your team turn what it knows about a guest into a relevant next visit. Evaluate the full path: usable guest data, timely outreach, a handled reply, and an order or booking you can trace back to the conversation.
Start with the job you need done
A reservation system, a loyalty program, and a customer engagement platform solve different jobs. One manages the table. Another tracks rewards. A third decides when to contact a guest and what happens when that guest answers. Some products combine these jobs. Compare the actual workflow you need before comparing feature counts.
For a restaurant group, write down one priority. It might be bringing back guests whose usual visit interval has passed, following up on a catering inquiry, or helping a returning guest book another table. Give each vendor the same scenario. A useful demo should start with the guest record and finish with the outcome in the operating system.
Check whether the guest record is usable
Ask which records enter the CRM and which guests remain unidentified. A database built from reservations can miss guests who walk in or order through another route. A POS connection may contain purchase history without a reliable way to contact every purchaser. A large contact count does not tell you how many people you can appropriately reach.
For two locations, test one known customer. Check whether their visits and orders are joined correctly, whether location context is retained, and whether the messaging permissions needed for the campaign are available. Then request a sample export of the fields your team actually needs. Treat data ownership and usable data access as separate questions.
Make the vendor demonstrate the next action
Give the vendor a concrete brief: identify guests who are later than their usual return pattern, exclude people who should not receive the campaign, prepare a relevant message, and show the review step. Ask who operates each part of that workflow. Software that needs a marketer to build every audience and campaign is a different operating model from a service that helps execute those tasks.
Next, reply to the message as a customer. Ask for a different time or another location. Check whether the answer goes to a monitored inbox, a human, or an assistant connected to the booking or ordering system. A campaign's job is unfinished when a customer's reply has nowhere useful to go.
Measure a completed outcome
Agree on the event that counts as success before launching: a confirmed reservation, a completed order, or another specific business action. Keep delivered messages, replies, clicks, orders, and bookings as separate measures. A click is evidence of interest; it is not a sale.
Define how duplicate transactions, cancellations, and attribution windows are handled. If you want to estimate whether outreach caused additional visits, use a suitable holdout comparison where practical. Observing a purchase after a message is useful, but it does not establish that the message caused the purchase.
Questions to take into a CRM demo
- Which POS, reservation, and customer records are available for our actual locations?
- Can we export the fields we need, including permission and source information?
- Who creates the audience, message, and campaign, and who approves it?
- What happens when a guest replies with an order or booking request?
- Where does a completed transaction appear, and how can our team verify it?
- What costs, setup work, and ongoing operating work are outside the quoted package?
Where Kubbly fits
Kubbly combines CRM expertise, campaign execution, and an AI brand representative. The platform helps a brand identify a customer opportunity and carry the resulting conversation through to an order or booking inside messaging apps. The ordering or reservation action depends on the connected system and the workflow enabled for that brand.
Use the same demonstration standard for Kubbly: bring a real business scenario, review the connection scope, and ask to see the conversation reach a confirmed result.
